Am I submitting my list
to the correct library?
Eckhart Reserve prepares materials for course reserves for
graduate and undergraduate classes in mathematics, computer science
and statistics. The Reserve Processing Staff provide the following
services:

Placing material from the University of Chicago
library’s general collections on Reserve

Photocopying and placing articles from periodicals and
chapters from books on Reserve, both in paper and in electronic
formats
-
Placing instructor’s own personal copies of articles,
chapters, manuscripts and books on Reserve--both in paper and in
electronic formats
-
Ordering books that the Library does not own or obtaining
articles through interlibrary loan from periodicals which the
Library does not own.
**NOTE: E-Reserve is not available for books.

Branch libraries

Each library, with the exception of Yerkes, has material on
reserve.

Eckhart has Mathematics, computer science and statistical
course reserves.

The D’Angelo Law Library houses course reserve materials
in Law.

SSAD has reserves for social work.
-
Most undergraduate and graduate science course reserves are
located in Crerar.
Eckhart reserve requests can be submitted in the following

duplicated at multiple libraries!
When do I have to have my
Reserve list submitted?
Every quarter Eckhart Reserve sends out emails to departmental
secretaries asking for lists of the professors who are teaching for
the upcoming quarter and directing faculty to reserve forms.

Reserve lists may be submitted at any time, preferably 6 weeks
prior to the start of the quarter.

Materials can continue to be submitted throughout the quarter.
However, those instructors whose students will need the material at
the start of the quarter must observe the deadlines. This will
allow time for processing, ordering, recalling, photocopying,
etc.

Lists submitted during the first two weeks of the quarter may
take 1-2 weeks to process.

Lists are processed in the order that they are received.

Reserve staff will process your material on a week by week
basis during peak periods, therefore, please provide your requests
in order of week needed.
* Faculty members who wait until the last two weeks before the
quarter begins to submit their reserve lists are unlikely to have
reserve materials available for their students in time for their
classes.
How much information do
you need for each book requested?
All forms, lists, syllabi, etc. must have the following for
processing. Each book, book chapter and journal article should have
a full bibliographic citation including:

Call Number
-
Date of classroom discussion
-
Author and/ or editor
-
Title (It is helpful if you note what you would like the
chapter or article to be titled)

Source title (for chapters and articles)
-
Publication date and location
-
Pagination
-
Edition/translation: If you want a specific edition of a work,
please be sure to indicate that on your request form. We will
assume that we can use any available edition unless otherwise
noted.

Circulation concerns
How long will my books
and Y’s stay on reserve once my list is
submitted?

Materials placed on Reserve will be available throughout the
quarter.

The Saturday after the end of the quarter materials will be
withdrawn from reserve and returned to the stacks or the branch
libraries.

Personal copies of books and other materials will be
returned.
-
However, photocopies will be stored for two years before being
returned to the owner. If you would like your copies returned
to you, please contact either the customer service assistant or the
Eckhart Reserve department.
If I place a title on
Reserve, will it take it out of circulation
completely?
Locating titles
What if a title isn’t
available at the University of Chicago libraries?

If we cannot locate a book in the University of Chicago
library's collection, we will try to purchase the book.
-
If it out of print, the Acquisitions Department will try to
locate the book through a variety of secondhand book dealers.
What if you can’t
locate the book I need for Reserves?
If a book is out of print and not in the library, faculty still
have some options available.
May I take out copies
from U of C branch libraries and bring them to
reserve?

If you charge out a book on your library account, we can
discharge it and make it available at Eckhart reserve.

On occasion the book is needed for the reserve deptment of the
host library. The book will be make available at that
libraries reserve counter.

If the branch book is included on your reserve request list,
the Eckhart reserve staff will request the book from the branch
library.
NOTE: If you are aware that a title is
missing or lost, please note that information so that the title
will be ordered as quickly as possible. Books and other
materials that have to be purchased might take up to 10 weeks to be
received and processed for reserve.

How many copies of each
title will you place on reserve?

How many items may I
place on reserve?
Articles and course-packs
How do I place articles
on reserve?
-
Articles, individual chapters, review notes, answer keys, etc.
may be places on reserve.

Copyright guidelines prohibit the use of more then 25% of a
book or journal or more then 2 chapters.
What if I want to create
a course-pack?
-
Faculty may wish to place more articles on Reserve than are
allowed by the limitations of space mentioned above. They may
wish to consider the advantages of creating a course packets: bound
collections of readings that count as a single reserve entry.
The faculty’s department will seek copyright for the
materials in the course- packet.

Faculty will provide the reserve department with a maximum of
2 copies.
Is there a limit to the
number of pages I can submit for a single Y folder?
-
The number of pages is limited by the copyright
guidelines.
-
Materials for use one-reserve will be broken into 20 page
increments for scanning, ease of student downloading and
printing.
List status
May I check the status of
my reserve lists?
-
Due to the large volume of Reserve requests and volume of
materials needed, Reserve staff encourages faculty to check the
status of their reserve lists.

With web access faculty can check the status of lists of the
current quarter by going to the library
reserve catalog and clicking
on either the Professor’s Name or course number.

At present, only information for the current quarter may be
searched on-line. (We are hoping that in the future faculty
may search for upcoming course lists.

Please contact the Reserve Processing department with any
questions or concerns.
Eckhart media and
reserves
May I request videos and
other media for reserve?
-
Videos, CD’s, CD-ROMs’ and other media material
are available on regular loan periods.
-
These materials may be requested to be put on Reserve and will
be made available for 24-hour loan periods.
-
If faculty would like to have a video made held at the
customer service desk for a class screening, please contact a
reserve staff member, so that we may make it available for
showing.
