Title: Dissertation Office Assistant
Mandatory Schedule: Monday-Friday 9:00 a.m. - noon
Responsibilities:
Reports to the Dissertation Office Project Assistant
- Staffs the Dissertation Office reception area, responding to both in person and telephone directional/informational queries. Refers problems to supervisor
- Supports the office in auditing and processing dissertations using UMI’s web-based interface
- Assists with maintenance of office documentation in print and on the web
- Provides back-up so office can remain open when supervisor is away
- Receives drafts and final manuscripts for auditing and processing (delivered as PDFs)
- Checks final dissertations for completeness and compliance with basic requirements (correct margins and font sizes, etc.) to ensure that the dissertation conforms to the University-Wide Requirements for the Ph.D. Dissertation
- Provides clerical assistance, including photocopying and filing, as needed
- Searches catalog and dissertation database
- Updates documentation and web site on occasion
- Other duties as assigned
Qualifications:
- Strong customer service skills
- Ability to handle confidential student information with discretion and maturity
- Ability to communicate verbally and in writing with clarity, tact and courtesy
- Keen attention to detail in performance of clerical and repetitive tasks
- General proficiency with computers (Word, E-mail, library catalog and database searching)
- Some proofreading experience desirable
- Library experience preferred
