General Summary:

Under the supervision of the Head and the direction of the Searches & Claims Assistant, performs an initial search of the bookstacks and all relevant areas for items reported missing or claimed returned by library patrons and staff. Searches for item information in Horizon ILS and other systems, including MS Access databases. Places items on hold for patrons if found. Enters search results into spreadsheets and MS Access databases. Communicates with patrons and Library staff by email, telephone, and in person. In the absence of the Searches & Claims Assistant, processes searches and claims received via online forms. Processes returned material sent unbound to the stacks. Searches for recently shelved books not found during shelf check process as quality control measure and updates results in MS Access database. Assists Searches & Claims Assistant in the processing of lost & found books. Investigates and routes problem pieces with item record problems, including folio items and long-missing items. Reports problems in bookstacks to Lead Bookstacks Assistant and Collection Maintenance Assistants as appropriate. Assists Lead and other clerical staff in developing departmental procedures designed to reduce check-in and shelving errors that impact searches and claims. Performs other duties as assigned.

Essential Functions:

60% Daily Operation: Under the direction of the Searches & Claims Assistant, performs an initial search of the bookstacks and all relevant areas for items reported missing or claimed returned by library patrons and staff. Interprets bibliographic and item records in library's ILS to extract information relevant to locating missing books. Under the direction of the Searches & Claims Assistant, may perform MS Access queries against library's ILS to extract information relevant to locating missing books. Processes returned material sent unbound to the stacks. Assists in the processing of lost & found books.

25% Quality control: Searches for recently shelved books not found during shelf check process as quality control measure and updates results in MS Access database. Under the direction of the Searches & Claims Assistant, updates and maintains item records as necessary. Identifies problems with serials/monographic holdings and item information and refers to Searches & Claims Assistant. Under the direction of the Searches & Claims Assistant, investigates, corrects, and/or routes problem pieces with item record problems, including folio items and long-missing items. Updates records and statistics on searches and claims using MS Excel. Reports problems in bookstacks to Lead Bookstacks Assistant and Collection Maintenance Assistants as appropriate. Provides input and recommendations to Lead related to improving efficiency, accuracy and service. Assists Lead in the development and implementation of new departmental procedures designed to reduce check-in and shelving errors that impact searches and claims.

15% Patron Service & Communication: Provides prompt and exceptional service to patrons in need of assistance, including immediate searching assistance when requested. Communicates with other Library departments to locate items, provides service and resolves problems with tact and courtesy. Notifies patrons as to status of searches in a timely manner. Responds to requests and questions from patrons and staff by email or KnowledgeTracker and in person. Maintains and updates boilerplate emails in KnowledgeTracker.
