Chicago Jazz Archive | Donations to the Archive

The CJA welcomes donations of jazz materials and recordings that fall within the scope of its collections. Prospective donors should contact the Archive's Curator, who will explain the priorities and needs of the collections and examine the condition of the materials offered. If the proposed donation contains materials that are not needed or are outside the scope of the Archive's collections, Archive policy is to offer such items back to the donor first, then arrange for trading of duplicates to other jazz archives or non-profit organizations, or for sale of the items to benefit the Library.

One of the Archive's major functions is to provide a permanent home for jazz musician memorabilia and papers. Family members who find themselves unable or unwilling to care for such a legacy are encouraged to open a collection in the musician's name; standard policy when arranging a donation is to ensure that donors and their families have research access to the materials donated. The Archive is also happy to assist the families of jazz musicians who are documenting an ancestor's role on the Chicago jazz scene.

Living musicians are encouraged to open their own named collections by donating materials they no longer use or do not wish to store, and to add to their collections periodically.

A gift of jazz materials to the Archive is not a static event; each use is a tribute to the person for whom the donation is named. Prospective donors are encouraged to contact the Curator with questions about how their jazz materials can be made available to users through the Archive.
