Introduction
Recorded music and spoken word materials that support coursework and research at the University are available from the Recordings service point located in the Third Floor Reading Room at Regenstein Library. The Recordings phone number is 773-702-8445 during open hours.
Music and spoken-word materials that circulate from the Recordings Service Point:
- CDs
- LPs
- Cassettes
- Supporting print materials
- Headphones and adaptors
Music and spoken-word materials that circulate from the Main Circulation Desk on the First Floor:
- Books and scores
- CDs and other materials in the Course Reserve Catalog
- Videos and DVDs (cases shelve on the 4th Floor for browsing)
- Laserdiscs
- Headphones
Materials that do not circulate:
- Reading Room materials (e.g., RR3)
- Stacks materials marked "building use only" (buo)
- Chicago Jazz Archive materials in the Special Collections Research Center
- Chicago Jazz Archive sound recordings, used by appointment and under the CJA Curator's supervision.

Interims
The Recordings Collection is closed during the interims following Fall, Winter and Spring Quarters, and operates on a limited schedule during Summer Quarter.Sound and Video Equipment
Audio and video playback equipment is available in Rooms 306 and 307, located in the center partition of the Third Floor reading room. The rooms are open for use during the Library's building hours. Headphones are required when using the equipment, as the rooms are not soundproof. Headphones can be charged out from the Main Circulation Desk on the First Floor, and from the Recordings service point during open hours.Circulation Policies
Borrowing
A University "Chicago Card" (official University i.d.) or barcoded UChicago Library Card is required to borrow materials from the Recordings Collection, even for materials to be used in the Library. Library circulation and access policies are available on the ID & Privileges Office website.Barcoded day passes from the ID & Privileges Office allow visitors to use the Library's computer workstations, but do not include circulation privileges. Please be careful with recordings; like other Library materials, they are used for research and may be out of print. Store CDs and supporting material in their cases to avoid misplacing or damaging them. Patrons will be charged for lost, incomplete, or damaged materials.- Materials are charged out from the Recordings Service point on theThird Floor of Regenstein.
- Materials circulate for 28 days, subject to recall at any time. If an item is recalled, it is given a new due date 8 days from when the recall request was filed.
- Headphones and their adaptors circulate for 4 hours, building use only.
- Items may be re-charged in person from the Recordings service point as long as this is no recall on them.
- There are NO online or phone renewals of materials from the Recordings Collection.
Returns
Patrons are responsible for returning items on or before the due date. Patrons going out of town are urged to return all material from the Recordings Collection before they go. Failure to return recalled or overdue materials can result in blocked privileges (see Fines, below.)- Entire items must be returned, including all CDs and supporting material.
- Incomplete items will not be checked in until all parts are present.
- Please hand items to an attendant, do not return them in book drops or via Fac Ex.
- Lost, incomplete, or damaged items incur replacement costs and processing fees.
Fines
- There are fines only for failure to return recalled material, or for lost/incomplete/damaged items.
- Fines for failure to return recalled material accrue at the rate of $3 per day.
- Overdue notices are automatically generated by Circulation, not by the Recordings staff.
- The first notice is sent at 2 days overdue, then two more follow at 7-day intervals.
- If there is no response by day 16 after the due date, the item is declared lost, the patron is billed for the lost item plus processing fee, and library privileges are blocked.
- Blocks and fines are resolved at the Main Circulation Desk, not Recordings.
- Books have their own schedule for overdue notices and blocks.

Lost, Incomplete, or Damaged Items
Many items in the Recordings Collection are out-of-print and are difficult to replace. Accordingly, charges for lost, incomplete and damaged items are high, reflecting work by music staff to repair items, or locate and process replacements.All lost/incomplete/damaged items incur a $25 processing fee in addition to the following replacement costs:
- If item is in print and the patron opts to have the Library order the item, the charge is the cost of an exact replacement plus the $25 processing fee to offset the labor costs of processing and cataloging a replacement. Please note that the Library deals only with certain vendors, so the cost may be higher than what can be seen on some websites. Patrons have the option of obtaining the replacement item themselves and giving it to the Library, in which case the charge is only the $25 processing fee.
- If part of an item is lost or damaged and cannot be replaced separately, the entire item must be replaced.
- If item is out of print, the minimum charge is $150.
All items returned with damaged jewel cases will incur a replacement and processing fee of $5 for single-disc cases and $10 for multi-disc cases.
