Student Payments Assistant

Title: Student Payments Assistant
Division / Dept.: Collection Services
Work Schedule: 15hrs/wk (Mon-Fri, 8am-5pm and at least 2hrs consecutively per shift)

Student positions at the University of Chicago Library are available only to University of Chicago students.

General Summary

Under general direction of the Payments Supervisor and closely following departmental guidelines and procedures, process invoices for payment, research vendor statements and problem invoices.

Essential Functions

  • Process invoices for payment using the library management system (LMS)
  • Review invoices received without shipments
  • Research vendor statements, verify material receipt in the LMS
  • Assist as needed with post-payment invoice activities, such as batch review, electronic stamping, filing, and archiving
  • Assist with preparation and administration of semi-annual book sales
  • Other duties as assigned

Qualifications

  • Basic computer literacy required.
  • The incumbent must have the ability to work quickly, independently and accurately with attention to details.
  • Knowledge of basic word processing, with ability and willingness to learn new types of databases required.
  • Experience with Excel is desirable.
  • Reading knowledge of one or more foreign language is preferred.
  • Typing speed of 40 wpm is required.
  • Sustain close attention to detail over long stretches of time.
  • Work effectively with supervision and as a part of a team.
  • Ability to set priorities and meet deadlines, recognize and resolve or refer problems.
  • Good organizational skills .

Physical Requirements

  • Must be able to sit for long periods, must be able to visually focus on print and electronic material for long periods.
